Maintenance Views

Technicians can view maintenance in List View, Template View, and Calendar View. You can change the view type from the top-right corner of the application in the Maintenance module.
 

List View  

The maintenance list view is a compact, tabular view. It lists the maintenance along with its basic details. By default, all maintenances are displayed in the list view.

Create and Manage Maintenance 

You can create and schedule maintenance activities from the maintenance list view by clicking New Maintenance. Click here to learn more.


Filters 

You can filter the maintenances based on requests and changes, and further filter these into the following:
  1. States: Filter maintenance based on specific states (active, suspended, completed) or all states.

  1. Request Type: Request maintenance can be filtered based on the request type: incident, service, or both.

  1. Sites: Filter maintenance based on their sites.

 

Color Code Request/Change Maintenance 

Click the Row Color Settings icon on the top right of the toolbar to color code the request/change maintenance. Learn more about row color settings here.


Customize List View Layout 

With Table Settings icon   on the top right of the toolbar, you can:
  1. Specify the number of records to be displayed per page.
  2. Sort maintenance based on column criteria.
  3. Specify the refresh frequency.

 

Choose Columns to be Displayed 

Column chooser   helps you customize the information you want to view on the list view page. You can choose up to 70 columns and reorder the columns using .
 

 

Search Maintenance 

Click   to search through maintenance based on column criteria.
Info
You cannot search for maintenance using any of the date fields. 

 

Generate Requests/Changes Instantly   

To generate a request/change instantly from ongoing active maintenance, click the icon beside the maintenance subject and confirm your action.
 
 
A request or change will be created under the respective module. You can view the summary of generated requests/changes under the Requests/Changes tab on the maintenance details page.

Template View  

The template view displays the maintenance as an extensive list. The crucial information such as schedule type, the upcoming schedule date & time, and the status are displayed as fixed columns, while basic information can be viewed under the subject of the request.
You can switch to template view by clicking the icon.
 

 

Search Maintenances   

You can search for maintenances based on the column criteria. Click the icon on the toolbar.
 
  1. Select the Criteria from the dropdown.
  2. Enter the search term.
  3. Click to add several criteria or click Search.
 

 
You cannot search for maintenances using any of the date fields.

All other aspects of the template view are the same as the list view. To view the list view options, click here.
 

Calendar View  

The calendar view displays the generated and upcoming requests/changes maintenance in daily, weekly, and monthly calendars.
 
Generated requests/changes are marked in green, and scheduled requests are marked in blue. You can switch to the calendar view by clicking the  icon.
 
 

Viewing Maintenance Summary 

You can view an outline of maintenance details by hovering over the subject link of the maintenance.
 
To view the requests/changes generated by the maintenance on a specific day, click the respective colored cell.
 

Create Request/Change Maintenance 

Click New Maintenance to create a maintenance request. Know more.
 

Filters 

You can filter the maintenance based on requests and changes and further filter these into the following:
  1. States: Filter maintenance based on specific states (active, suspended, completed) or all states.
  2. Request Type: Request maintenance can be filtered based on the request type: incident, service, or both.
  3. Sites: Filter maintenance based on their sites.

Time Filter: Click the filter drop-down on the top left and select the required month and year.
 

You can also use the navigation icons on the top right to view the previous or upcoming schedules.

Search Maintenance 

Click on the maintenance column to search. Type the search text and press Enter.
 
 

Generate Requests/Changes Instantly

To generate a request instantly for ongoing maintenance, click the icon beside the maintenance subject and confirm your action.
 
A request or change will be created under the respective module. You can view the summary of generated requests/changes under the Requests/Changes section in the maintenance details page.

Maintenance Color Settings 

Color-code maintenance to easily identify and track them based on their status, priority, category, and level. Each technician can personalize the row colors according to their preferences.

Color coding is not applicable in the Calendar view. 
Role Required: Technicians with View permission for maintenance.
 

Configuring Color Settings     

Go to the Maintenance module and select the respective customer from the filter in the header. 
In the list view, click Row Color Settings icon . The Row Color Settings drop-down will open to display the configured color settings.

The following options will be displayed:
  1. Enable row color settings: Toggle this to enable/disable row color settings. By default, row colors are applied only to the list view.
  2. Enable color settings for template view: Toggle this to enable/disable row color settings for template view,
  3. Color Based On: Field by which color coding is applied.
  4. Default Color: Color chosen for the configuration.
  5. Applies To: Columns to which the color settings are applied.
To change color configurations, click Edit row color settings at the bottom of the drop-down and use the pointers below to configure the fields.

Configuring settings on the left pane will preview the color-coded result instantly on the right pane. 
Field Name  
Explanation  
Row Color Based On
Choose the field based on which you want to color-code maintenance. The options available are Status, Priority, Category, and Level.
 
Select values for the fields by clicking Add New and associate a color by clicking the color checkbox.
Default Color
Set the colors for the configuration.
Applies to
Select the columns that must be colored from the combo box.
 
If no column is chosen, the color coding will be applied to all columns.
 
Info
This setting is applicable only for the list view.  
Opacity
Select the opacity level of the colors using the slider.
After configuring the color settings, click Save.
