Rooms & Spaces

Under Rooms & Spaces, you can add information about individual rooms and spaces that are present on a floor. These spaces can be any empty piece of free space, such as a space to store couches and store rooms, etc.

To add new rooms and spaces,
  1. Go to Spaces > Rooms & Spaces. Select the customer from All Customers.
  2. Click New Room. Fill out the form as directed.
 
Fields
Explanation
Select Type
Select the space type from available templates.
Info
Select a predefined room type. Click here to learn more about creating space types.
Name*, Description, Campus*, Building*, Floor*
Enter the Name, Description, and select the campus, building, and floor the room belongs to.
 
 
Status
Select the current status of the room to indicate its availability and usage. This helps in effective space planning and management. You can customize statuses from Space Status.
Area
Enter the total area of the room in square meters (default value). The units can be customized here.
Total and Occupied capacity
Enter the maximum limit of occupants and current number of occupants.
Supervisors
Assign personnel responsible for managing the room.
Amenities
Select amenities available within the room. To add amenities, click here.
Criticality
Select criticality based on hazards, such as any chemical waste, explosives, and more, present in the room. To add criticality, click here.
Room layouts
Select the layout of the room and enter the capacity. Layout details help administrators choose the most suitable space for specific events. For example, a theater layout may be ideal for seminars or presentations. You can configure the layout here.
Booking
Bookable: Enable this option to make the room available for advance booking.
Approvers: Enable to allow bookings only after approval from the assigned approver.
Image Attachment(s)
Attach images of your floor.
 
 
  1. Click Save.
Once added, amenities and criticality details will be displayed with respective icons in the details page for easy identification.


Rooms & Spaces List View   

From the rooms & spaces list view, you can add, edit, or delete rooms and spaces. View them in Space Tree to get an overview of associations under them as well as view the campus and structure (buildings/non buildings) in which they are located.
  1. Edit/Delete: click Actions  and perform the preferred action.
  2. Configure booking: Select a room, click Actions > Configure Booking. You can enable the booking and add an approval process to book the room.
  3. Filter: Use filters or the search option in the header to find a particular room.
  4. View: Switch between table view and classic view using List View and Template View icons
    on the top right corner.

Rooms & Spaces Details Page   

In list view, click on a room to view room details.
From the header, you can,
  1. Edit the room details.
  2. Create and associate incident and service requests with that particular room.
  3. Copy a space to reuse its configurations for similar setups.
Info
Add spaces field to Templates & Forms > Incident template/ Service Category  to list the templates when creating an incident or service request.

Details: Key information about your room is displayed here.
Partition: Create new partitions to divide the room space as preferred.
Associations: You can view requests associated with the room.
You can attach/detach assets and facility services with the room under Assets associated and Facility services associated sections.
Info
Assets and facility services should already exist before they can be associated.
Booking: You can book the room on specific dates and times all around the year. This tab is visible when booking is enabled for the room.
Documents: Add documents related to rooms & spaces, such as a fire evacuation plan, blueprint of the room, and much more.
History: View changes made to rooms and spaces under the History tab.  For bookable rooms and spaces, view past bookings under the Booking History tab.
