Tasks

Split the release activities into different tasks for each stage, set priorities, assign them to relevant technicians, and track their progress for an organized release workflow.
You can add tasks from the Tasks tab in a release stage or the Tasks tab at the left pane of the release details page.
 
You can also add tasks from the release details page under Actions > Add Task/Add Task from Template.

Role Required: SDAdmin, SDReleaseManager, or User with Edit permission to the respective release stage .

Add Tasks    

  1. Go to the Tasks tab on the release details page/release stage.
  2. Click the Add Task drop-down menu. Here, you can either select Add Task to define a new task or select Add Task from Template to use an existing task template.
  3. Fill out the form.
Field Name
Explanation
Stage
Select the stage for which you are creating a task.
 
this field is non-editable in the Tasks tab on the release stage details page.
Template
Choose the task template from the drop-down.
Title *
Provide an appropriate name for the task.
Description
Briefly describe the objective of the task.
Scheduled Start Time/Scheduled End Time
Provide an estimate of the time this task may require.
Actual Start Time/Actual End Time
This field can be filled after the task has been completed, either fully or partially.
Assign Group/Owner
Select the group and the owner responsible for the task.
 
Enable the toggle to mark the task. The group/owner is assigned when the marked tasks are triggered:
  1. Automatically when all its parent tasks are closed
  2. Manually from task list view/template view.
  3. Manually using the Assign Now/Later button in the task details/edit page.
Priority
Set priority for the task.
Status *
Select the task status.
Additional Costs
Add any unplanned costs the task may entail.
Task type
Select the task type.
Notify before Scheduled Start
Set the time before which you must be notified of the task start.
% Completed
Add the percentage of the task completed.
Estimated Effort
Specify the time required to complete this task.
 
When you provide Scheduled Start and Estimated Effort, the Scheduled End will be auto-calculated based on associated task SLA, site's operational hours and holidays.
Attachments
Attach any related information.

Quick Add Tasks   

  1. Click Quick Add on the top right of the page.
  2. Specify the task name and hit Enter to save the task.
 
Use the All Tasks drop-down to view all your tasks, pending tasks, and completed task by clicking the relevant options.

View Task Details    

Click the required task in the list to view its details.

 
In the task details page, you will find the following tabs:
  1. Details: Contains basic information of the task added while filling the form.
  2. Task Dependency: View dependant tasks added here.
  3. Worklogs: Create, edit, and manage work log records related to the task. Learn more.
  4. Comments
    1. Add and view comments related to the task. You can tag release approvers, users associated with release roles, and technicians within your scope by typing @ followed by their username.
    2. You can also notify the tagged users. Configure this under Setup > Automation > Notification Rules > Other Notifications.
  5. History: Records all actions performed on a task.
 

Add Work Log    

Work log document the duration it took for the owner to complete their task.
 
To add a worklog,
  1. Go to the Worklogs tab on the task details page and click Add Worklog. You can also click Actions > Add Worklog on that page.
  2. Fill out the form.
  3. Click Save.

You can also add a work log via the release details page.

Organize Tasks    

  1. Go to the Tasks tab in a release stage.
  2. Click Organize on the task list view/template view to arrange the tasks in the preferred order.
  3. Click any task and then use the arrows on the right to move the tasks up or down.

In the absence of task dependencies, the tasks are completed sequentially. 

Add Task Dependencies     

Task dependencies establish a specific order for tasks to be completed. This is essential in the cases where the output of one task is needed as an input for the next task.
 
To view, add, or delete task dependencies,
  1. Go to the Tasks tab in a release stage.
  2. Click Task Dependency.
  3. The green fill color indicates the percentage of the task completed. You can also view the summary of each task by hovering over it.


To add a dependency, click and hold a parent task and drag the cursor till the child task. The dependency link will be added for the connection.

 

To remove a dependency, hover over a dependency link, and click the close (x) icon.
 
 
You can reload the page, change the layout to vertical, or save the dependency map as a PDF using the options on the top-right.
 

Assign Owner  

You can assign the owner for a task in three ways:
  1. While adding a task
  2. From the task list view/template view:
    1. Click Assign Owner drop-down and select the relevant technician. The selected technician will be assigned to all tasks.
  3. To bulk assign an owner for specific tasks,
    1. Select the required tasks using the checkboxes.
    2. Click the Assign Owner drop-down and select the relevant technician.
 

Trigger Tasks 

Click Trigger on the task list view to trigger all tasks, along with their dependencies.
 
You can also trigger specific tasks by selecting them using the checkbox and clicking Trigger. However, you cannot trigger the dependent tasks without triggering the parent task.

 

Pick Up Tasks    

Technicians associated with the customer can pick up tasks from the task details page, Tasks tab in a release stage, or tab on the left pane of the release details page.
  1. To pick up multiple tasks, select the tasks using checkboxes and click Pick up.
  1. To pick up individual tasks, go to the required task details page and click Pick up on the top.
 

Info
Technician who picks up the task is assigned as the task owner.  
Users who are release owners can also be task owners.  

Close Tasks   

Technicians can close a task that has been addressed and resolved. You can close tasks from the task details page, Tasks tab in a release stage or Tasks tab on the left pane of the release details page.
  1. To close multiple tasks, select the tasks using checkboxes, and click Close.
  1. To close individual tasks, go to the required task details page and click Close on the toolbar.
 

Edit Tasks  

To edit a task, click Edit on the task details page.
 

You can also edit a task from the task list view/template view in a release stage by clicking > Edit next to the required task.
 
 

Delete Tasks 

 
To delete a task, click Delete on the task details page.

 
You can also delete tasks from the task list view/template view in a release stage by clicking > Delete next to the required task.
 
To bulk delete tasks, go to the task list view/template view, select the required tasks using checkboxes, and click Delete.
