Software License Agreements

License Agreements   

License agreement is a contract between the software vendor and the purchaser. ServiceDesk Plus MSP Cloud allows you to add and associate license agreements to software licenses.

To add a license agreement,
  1. Go to Assets > Software > License Agreements.
  2. Choose a customer from the drop-down in the header.
  3. Click New.
  4. Use the pointers below to fill out the fields.
Field
Explanation
Manufacturer
Choose the manufacturer from the drop-down.
 
To create a new manufacturer, click beside the drop-down. Enter the manufacturer's name and description, then click Add.
Agreement Number*
Provide the agreement number.
Authorization Number
Provide the authorization number.
Vendor Name
Provide the vendor name.
Active From*
Provide the activation and expiry date of the agreement in the specified format.
Expiry Date
Description
Give a brief description of the agreement.
Terms
Provide the terms of the agreement.
Attachments
Add files to the license agreement. You can attach files from the computer or the Cloud.
Purchase & Invoice Details
Provide details of the purchase order, including the PO number, invoice number, PO and invoice dates, purchase cost, and a description of the purchase if needed.
Purchased Software Licenses
You can associate the license with an existing software license or create a new software license and associate the agreement.
To associate an existing license with the agreement, click Associate Existing Licenses. In the pop-up window, choose the site and software from the filter. Select the software license and click Associate to agreement.
To add a new license and associate it, click Add New License and associate. Refer here to fill out the form.
Agreement Expiry Notification
Choose users to be notified about the agreement expiry and set notification time frame.

View License Agreement Details  

To view the license agreement details, go to Assets > Software > License Agreements.
  1. On the list view, choose the required customer from the drop-down in the header, and click the agreement name to open its details page.
  2. The right pane of the agreement details page displays the customer details, agreement number, agreement status, manufacturer details, and expiry date.
  3. The agreement status is determined based on the expiry date. The active status indicates that the agreement has not surpassed the expiry date yet.
  4. On the canvas, you will find the license agreement details, license purchase and invoice details, and a list of all associated licenses.
  5. Technicians with edit permission to the license agreement can spot edit the fields in the details page.

Under the License Details section, you can associate/dissociate existing licenses with the agreement.
To associate a license,
  1. Click Add.
  2. In the pop-up, you will find the list of existing licenses associated with the manufacturer. You can filter the licenses based on site and software using the relevant drop-downs.
  3. Select the required licenses using the check boxes and click Associate to agreement on the bottom.
  4. To remove a license, click Remove at the top of the license details list.

Edit/Delete/Print License Agreement   

To edit a license agreement,
  1. Go to Assets > Software > License Agreements.
  2. Choose the required customer from the drop-down in the application header.
  3. Click the edit icon next to the required license agreement.
  4. Alternatively, you can go to the required license agreement details page and click Edit.
  5. To delete the license agreement,
    1. On the license agreement list view, select the license agreements and click Delete.
To print the license agreement,
  1. Go to the license agreement details page.
  2. Click Print.
 

List View Actions   

  1. Search license agreement: Use the icon to perform a column search on software license agreements.
  2. Choose columns: Choose the columns to be displayed for the software license agreement using .
  3. Set number of records per page: Set the number of records in a page and sort them as required using .
  4. Edit license agreement: Click the edit icon to edit the license agreement details. You cannot edit the manufacturer details.
  5. Delete license agreement: Select the required license agreements using the check boxes and click Delete.
  6. Filter license agreements: Use the All Agreements drop-down on the top-right to filter license agreements based on the expiration period.
