Project Template

Configure project templates to allow users to apply a common template for repetitive projects, such as creating workspaces for new hires, uploading websites, or upgrading software applications. Project fields such as Site, Project Requester, Owner and Lookup fields are displayed with respect to the customer selected
 
In project templates, you can add milestones, tasks, and project members.

Role Required: SDAdmin

Configure Project Template    

To create project templates,
  1. Go to Setup > Templates & Forms > Project Template.
  2. Select the respective customer from the filter in the header.
  3. Click New Project Template. The displayed form consists of three main sections: Header, Fields List, and Canvas.
 
Header
Provide basic details of the template.
  1. Template Name* - Enter a name unique to the customer for the template.
  2. Comments - Briefly describe the usage of the template.
Field List
The field list in the right pane contains two tabs: Available Fields and New Fields.
  1. Available Fields - Contains default and additional fields configured in the application that are not used in the canvas. Drag any field from this list to the canvas.
  2. New Fields - Contains field types that you can use to create additional fields instantly for the project template. To create a new field, drag a field type to the template canvas and add the required details.
  3. Based on the selected field type, the field properties vary.
  4. You can create additional fields under Setup > Customization > Additional Fields > Project.
You can also add sections to the template from the right pane. Use the New Section button to add sections to the template and group the fields within the section.
Canvas
The canvas contains various fields that are vital in capturing information about the project. Some fields are system-defined.

To customize sections added to the canvas,
  1. By default, sections are untitled. Click on the left corner of the section header to name the section.
  2. Hover over a section and click to set the following section properties:
    1. Number of Columns - Choose if you want the section to have one or two columns.
    2. Label Orientation - Choose if you want the field labels to be aligned on the left, top, or right to the input boxes.
    3. Collapsed State - You can choose to collapse sections automatically while loading the form. This property can be defined only if the section is named.
    4. Click Delete Section to remove the section from the template. The fields in the section will be moved to the field list on the right pane.
  3. Click on the section header to drag the section anywhere in the canvas.
To customize fields added to the canvas,
  1. Hover over a field to define the field properties.
    1. Click to mandate the field.
    2. Click to remove a field from the template.
    3. Click or on the either sides of the field to adjust the field width.
    4. Use to move the field within or across sections.
  2. Specify values in the field to set default values.
Info
Hard-coded fields  or sections containing hard-coded fields cannot be removed from the template. However, you can move these fields to other sections before deleting a section.
 
Click Save.
You can view the template layout by clicking Preview on the top of the page.
 

Add Milestones 

Milestones are achievable target points in a project. They are sequenced to track the progress of a project.

To add a milestone,
  1. Open a project template.
  2. Switch to the Milestones tab, click Add Milestone.
  3. Provide a milestone name and description.
  4. Select the priority and status.
  5. Enter the approximate time required to complete the milestone.
  6. Add attachments if any using the drag-and-drop method or click Attach File.
  7. Click Save.

Milestone List View Actions

  1. To edit or delete a milestone, click the Actions icon beside it and select the required operation.
  2. To bulk delete, select the milestones and click Delete.
  3. To set the milestone execution order, click Organize on the top of the header and reorder milestones using the up and down arrows.
  4. Click Apply.

Add Tasks to a Milestone  

Add tasks to a milestone to organize and track the progress of the milestone.

To add a task to a milestone,
  1. Go to the milestone details page, switch to Tasks.
  2. Click Add Task. You can also use a task template by clicking Add Task > Add Task from Template. Select the task template and click Add Task.
  3. Fill out the displayed form and click Save.
 

 

Task List View Actions

  1. To edit/delete a task, click the icon beside it and select the required operation.
  2. To bulk delete, select the tasks and click Delete.
  3. Click Organize on the top of the header menu and use the up and down arrows to reorder the tasks.
 

Add Tasks to Project   

Assign technicians to tasks and configure the tasks to be triggered when needed.

To configure tasks,
  1. Select the Tasks tab in the header.
  2. Click Add Task.
  3. Populate the Add Task form fields as explained here or select a task template from the drop-down.
  4. Click Save.
 

 

Task List View Actions

  1. To edit or delete a task, use the Actions icon.
  2. To bulk delete, select multiple tasks and click Delete.
  3. Use Assign Milestone to assign tasks to a milestone in a project.
 

Add Members 

You can add members and assign roles to be automatically added to the project.

To add members to a project template,
  1. Open a project template.
  2. Go to the Members tab.
  3. Click Add Member, select the members from the available members list and assign a project role.
  4. If a project role is not assigned to a member, they will hold the default project role.
  5. Click Save

Mapping Task Dependency   

Task dependency defines the order of completion of each task.

You can mark dependency between the following tasks within a project template:
  1. Project template tasks
  2. Tasks between project template and the project's milestone template
  3. Tasks across milestone templates within a project template
  4. Tasks within a milestone template
To configure task Dependency
  1. Open a project template and click Task Dependency on the header.
 

 
  1. Click the first task and drag the arrow up to the second task.
  2. Then, repeat the process with the second task as source node and next task as target node to define the sequence of tasks.
  3. To delete dependencies, hover over the dependency link and click the Remove icon.

List View Actions   

  1. Manage Templates - Use the Actions icon besides the template names to edit, delete, enable, disable, or copy the project template.
  2. Mark as Default - Click to mark the template as default.
  3. Search - Click on the top-right to search through all the columns other than date fields.
  4. Table Settings - Click   to limit the number of records displayed per page, set view options, and sort templates as needed.
