Workflow
Assets are auto-assigned based on the email address or the Active Directory (AD) domain login name/login name of the user who logged in to the asset previously.
After an asset scan, the domain and username of the last logged-in user is obtained from the system registry. The last logged-in name is fetched by the probe in the DomainName\UserName format. Example: ZYLKER\admin.
- The probe will query the domain controller to identify the user in the domain by using the last-logged name. The email address of the user will be fetched.
- The user will be identified in ServiceDesk Plus MSP Cloud by using the email address and the asset will be assigned to them.
- If no users are identified, a non-login user will be created with the email address and the asset will be assigned to them.
- If the email address is not available, the user can be identified by matching the last-logged name with the AD login name populated in a requester additional field.

The workflow is not applicable for the following scenario:
If an organization has integration with Endpoint Central, the user assignment will be managed from Endpoint Central, and the information will be passed to ServiceDesk Plus MSP Cloud.
Use case 1: Auto-assign users to assets detected via probe scans
Scenario:
Zylker manages its users and assets by using local AD. Whenever assets are detected through probe scans, Zylker wants to automate the asset user assignments. The probe scans can be performed by using the following methods:
- Domain Scan
- Network Scan
- SCCM Scan
Prerequisite:
Integrate the AD with ServiceDesk Plus MSP Cloud under Setup > Apps & Add-ons > Integrations > Third-Party Integrations.
Configuration:
Asset Auto Assign via Domain Scan
- Enable asset auto-assignment under Setup > Automation > Asset Auto Assign.
Asset Auto Assign assets added via Network and SCCM Scan
- Even if Network or SCCM scans are primarily used, you can add their domain credentials under Setup > Probes and Discovery > Domain Scan for Zylker.
- After adding domain credentials, you can enable asset auto-assignment from Setup > Automation > Asset Auto-Assign.
Use case 2: Auto-assign users to assets without using probe
Scenario:
Zylker manages its assets in the cloud AD without a domain controller. During a network scan, they notice that assets are not automatically assigned to users based on the last logged information from the registry.
In this scenario, there is no way for the probe to fetch email addresses from the local AD, compare them with the requester's list in ServiceDesk Plus MSP Cloud and automatically assign users.
Action:
To resolve this, you can set up an additional step to facilitate asset assignment:
- Go to Setup > Customization > Additional Field.
- Select User from the module filter.
- Create an additional field: AD Login Name.
You can populate value to this field via two methods:
- Azure AD
- Other cloud-based Active Directory.
Via Azure AD
- Under Setup > Customization > Additional Fields > User, create a single-line or multi-line additional field.
- Go to Setup > Apps & Add-ons > Integrations > Azure AD User Sync and click Configure.
- In the field mapping section, map the created user additional field with AD Login Name.
- Click Save.
After the mapping, sync the users from AD and then scan the assets.
Via Cloud-based Directory
- Create a CSV file with Zylker's user details and add a column containing the login name of users.
- Go to Setup > Data Administration > Import Data.
- Upload the CSV file and map the column containing the login name with the user additional field.
- Click Import.
- Ensure the login name format in the CSV file is similar to the format identified during asset scan.
- Now, configure asset auto assign under Setup > Automation > Asset Auto Assign.
- Enable: Use AD Login Name when email information is not collected during scan.
- Click Save.
