Asset Age

Asset age refers to how long an asset has been used in the organization.
Idea
Use case: Quickly identify outdated assets to evaluate their compliance status and plan for replacements or upgrades.

Configure Asset Age 

Set how the asset age must be calculated and displayed in the asset forms.
  1. Go to Setup > Customization > Asset Management > Configurations.
  2. Specify the following details and click Save:

Calculate "Asset Age" based on
By default, you can choose whether the asset age must be calculated from Acquisition Date (purchase date) or Created Time (asset record created date).
You can also choose to calculate from any relevant Date/Time additional asset fields.
Asset Age Format
Set the display format for asset age by selecting the units and their display labels.
 

View Asset Age 

By default, the age of an asset is displayed on the right pane of the asset details page. To view the age in asset forms and details page canvas, you must add the Age field to the parent product type (All Assets) template.
  1. Go to Setup > Customization > Asset Management > Product Type.
  2. Click the parent product type: All Assets.
  3. Go to the Fields tab.
  4. From the Available tab in the right pane, drag the Age field to the canvas and save the template.
To remove the field from the template, hover over the field and click .
Notes
Note:
The asset age will be auto-populated in the field and cannot be edited.
You cannot add the Age field for consumables. 

Custom View

Create a customized list view that filters and displays only assets of a specific age.
  1. Go to Assets.
  2. Click the New Custom View icon .
  3. Give the custom view a name. This is mandatory.
  4. Set filter conditions as follows:
    1. Select Column: Choose Age.
    2. Select Operator: Select the required logical operator.
    3. Specify the asset age you want to filter.
    4. Click the icon to add more conditions.
    5. By default, the AND operator is applied. Click it to switch to the OR operator.
  5. The custom view created by SDAdmins will be public by default. To make the view private, select Make this view as a private custom view. This option will not be available for non-admin users as they can create only private views.
 
  1. Click Apply or Save.
    1. Click Save to save the custom view, which can be accessed later from the custom view menu.
    2. Click Apply to temporarily filter assets without saving the criteria. The filter will be dismissed upon page refresh.

Asset Age Widgets

Add the Asset Age Summary widget to the Asset Dashboard to monitor and track assets in all product types across different age groups.
  1. Go to Home > Dashboard > Asset Dashboard.
  2. Hover over the Asset Dashboard title and click .
  3. Click Customize.
  4. From the Customize slider, select the Asset Age Summary canned widget.
  5. Click Update Layout.
  6. You can drag and drop the widget to reposition it. You can also group the widget with other widgets to accommodate more widgets on the dashboard.
  7. After you finish, click on the top right.
 
You should now see the Asset Age Summary widget on the dashboard, as shown:
To view an age summary of Computers only, add the Computer Age Summary widget to the dashboard.
 If the asset age is calculated based on acquisition date, records without an acquisition date will be excluded in the age summary.  Therefore, make sure that the Acquisition Date field in asset records is filled in.

 Widget Actions 

Hover over a widget and use the following tools to:
- View the widget in full screen
- Refresh the widget data
- Change the graph type
The x-axis on the widget represents asset age in years, while the y-axis represents the number of assets. Clicking on a specific age group will open a slideout:
The left pane lists all assets within that age group.
The canvas displays the details of the first asset in the list. Use the left pane to navigate through the list and view details of specific assets.
Use on the left pane to sort the asset list by created time, acquisition date, current book value, warranty expiry date, and more.
Use the Actions drop-down and toolbar on the canvas to configure depreciation, raise a request, modify the product, update credentials, and edit, scan, assign, and print the asset.
 
 

Generate Age-Based Reports  

Include the Age column in asset reports to filter, group, and view asset data based on age.
  1. Go to Reports.
  2. Create a new custom report for Assets.
  3. From the list of asset fields in the Report Wizard, select Age.

You can set report criteria based on Age.


Assets can be grouped by age only in years.
